Privacy notice
This notice explains what Nobleyy Apartment does with your personal information when you book a room, stay with us, or get in touch. It covers this website, our booking system and the smart locks on our room doors.
What we collect
- Your name, phone number and email address, so we can confirm the booking and send your door code.
- Your stay details: the property, the room, your dates, the number of guests and the booking reference.
- Your identification document. Every adult guest shows photo identification on arrival. We record the document type, its number and its expiry date, and we may keep a scan of it, as part of the guest register. The scan is stored on our own system and is never published on a public address.
- Your date of birth and nationality, where the guest register requires them.
- Your home address, and the city and country you are travelling from.
- An emergency contact, if you give us one. That is the name and phone number of another person, so we record it only because you chose to give it, we use it only to reach them in a genuine emergency during your stay, and we delete it with the rest of your booking record.
- Your payment reference. Card details are entered on the payment provider secure page, so we hold the reference, the amount, the method and whether it succeeded, never your card number.
- Records of door access. The smart lock on your room records the date and time it is opened while your code is active.
- Anything you write in a booking note or send us in a message.
- Live chat. If you use the chat on this website we keep the conversation, along with the name and contact details you give us, your IP address, your browser type and the page you were on when you started it. We hold those technical details so we can recognise repeat abuse of the chat, and our staff can see them.
- Basic technical information from this website, such as the pages you visit, so we can keep it working.
Why we collect it
- To take your booking, confirm it and issue the door code that lets you into your room.
- To take payment and to trace a payment that did not arrive.
- To keep the guest register that hotels are expected to keep, and to confirm that the person checking in is the person who booked.
- To keep guests, staff and the building safe, and to settle a dispute about a stay. Door access records are what we check if a room is entered when it should not have been, or if something goes missing.
- To answer your questions and handle complaints and refunds.
- To send you offers, but only if you asked to receive them. You can stop those at any time.
We do not sell your information, and we do not use door access records to monitor your comings and goings for any other purpose.
How long we keep it
| What | How long we keep it |
|---|---|
| Booking and guest details | 5 years after your stay |

| Payment references and receipts | 6 years, for accounting |
| Door access records | 12 months |

If a dispute, insurance claim or investigation is running, we keep what relates to it until that is finished. After the periods above, records are deleted or anonymised.
How we protect it
- This website and the booking system run over an encrypted connection.
- Staff accounts are individual, password protected, and limited to what each role needs. Identification documents and door records can only be opened by senior staff.
- We do not store card numbers anywhere in our system.
- Backups are taken regularly and kept with the same protection as the live system.
No system is perfect. If something happens to your information that puts you at risk, we will tell you and the relevant authority promptly.
Your rights
Your information belongs to you. You can ask us to:
- Show you what we hold about you, including your booking history and your door access records.
- Correct anything that is wrong.
- Delete what we no longer need to keep.
- Stop sending you marketing messages.
- Explain how a decision about your booking was made, including if we have decided not to host you again. You can ask us why, put your side of it, and ask us to reconsider.
- See who can read the sensitive parts of your record. Your identification number, your date of birth and any scan of your document are visible only to our own signed-in staff who need them, and they are never shown on the guest portal or anywhere on the public website.
Write to us using the details at the bottom of this page and we will reply within 30 days. We may ask you to confirm who you are first, so that nobody else can request your records. If you are not happy with our answer, you can complain to the data protection authority in your country.
